The front desk scans the post in one stack. DataSnap splits it into separate letters, recognises a residents' parking permit application, an invoice or a formal objection, and puts each one in the folder of the department that handles it. Incoming post
The morning post goes through the scanner as one stack. A barcode sheet or a blank page marks where a new letter begins, and each letter lands in the folder of the right department.
Application forms
From a paper application DataSnap takes the name, address, number plate and date. Only a form with an unreadable or missing field goes to a member of staff.
Invoices outside Peppol
Invoices from foreign suppliers and the last paper invoices. DataSnap recognises the supplier by the VAT number in your lookup table and checks the amounts and the IBAN.
Social welfare files
Payslips and certificates that come with an application. You make review mandatory per field, and later you see who approved each value.
Backlog scanning of building files
Old files become searchable PDF/A. In the portal archive you set a retention period per document type.
On-site inspections
The building inspector photographs a document with the phone app. With no signal it stays on the phone until the network is back.
